1. Who we are
Vcoreautomations, trading as VCore Automation, provides this service. For the personal data of our own account holders and website visitors we act as the data controller and decide how and why that data is processed. For the customer records a business uploads into its workspace, that business is the controller and we act as its processor, handling the data only on its instructions.
2. Data we collect and why
Account data (name, email, password credentials, role) — to create and secure your account. Legal basis: performance of our contract with you.Business profile data (business name, hours, services, service area) — to configure and deliver the service. Legal basis: contract.Customer records uploaded by a business (contact name, phone, email, address or ZIP, service requested, message history, appointments, estimates, review requests) — to provide the service to that business. Legal basis: contract, processed on the business’s instructions.Support messages — to answer your enquiries. Legal basis: contract and our legitimate interest in supporting customers.Usage, telemetry, device identifiers and IP address — for security, fraud prevention, troubleshooting and product improvement. Legal basis: our legitimate interests.Marketing contact data, where you opt in — legal basis: consent, withdrawable at any time.We also process data where we must to meet a legal obligation, such as accounting and tax records.
3. Workspace isolation
Every record belongs to exactly one business workspace. Access rules are enforced in the database, so one business can never read another business’s records, even if the app asked for them.
4. Messaging consent
Consent and opt-out events are recorded per contact. A contact who replies STOP is marked opted out and is excluded from automated messaging.
5. Who we share data with
Service providers and subprocessors — hosting, database, email delivery, phone/SMS and analytics providers that process data on our behalf under contract.Paddle.com — our Merchant of Record. Paddle handles the sale of our product, subscription management, payments, tax compliance, invoicing, refunds and related buyer support, and processes your billing data as a controller under its own privacy notice.Professional advisers (legal, accounting) and authorities where required by law.We do not sell personal data.
6. International transfers
Our providers may process data outside your country, including in the United States. Where data leaves the UK or EEA we rely on adequacy decisions or Standard Contractual Clauses with appropriate safeguards.
7. Retention
Account and business profile data is kept while your account is active and for 12 months after closure. Customer records in a workspace are kept until deleted by the business; deleting a workspace removes its records, with backups purged within 30 days. Billing and tax records are kept for 7 years as required by law. Usage and security logs are kept for 12 months. Data is deleted or anonymised when it is no longer needed.
8. Your rights
You may request access to your data, correction of inaccurate data, erasure, restriction of processing, a portable copy, or object to processing based on legitimate interests, and you may withdraw consent at any time. Email support@vcorebiz.com and we will respond within one month. If you are in the UK or EEA you may also complain to your local supervisory authority. If your data is held in a business’s workspace, contact that business first; we will assist it in responding.
9. Security
We apply appropriate technical and organisational measures, including encryption in transit, database-level access controls enforcing workspace isolation, role-based access, and hashed credentials. Third-party provider credentials are never stored in the browser.
10. Cookies
We use essential cookies to keep you signed in and secure the service, and limited analytics cookies to understand aggregate usage. We do not use advertising cookies. You can clear or block cookies in your browser settings; blocking essential cookies will prevent sign-in.
